Retail & supermarket owner journey

From first sign-in to year-end.

Use this guide in sequence once, then return to the cadence you need. A solo owner can run every operational step; staff accounts are optional and can be added later.

First-time setup

Do this once for each business or device.

Create the owner account

Create the login on the device that will hold the business. Returning owners sign in and land on My Business.

Complete Business Setup

Confirm business name, country, currency, language, tax registration, industry and whether you work alone or with staff. The owner profile can operate every screen.

Add products or migrate the complete old business

Enter item name, barcode, selling price, cost price, opening quantity and tax class—or use Complete Business Migration for stock, customers, suppliers, detailed history, books and retained source records. Cost of goods sold cannot be calculated if a product has no cost.

Create the first secure backup

After setup and stock import, create a protected backup and store it away from the till device.

Where the owner starts: after setup, My Business is the working home. It reveals daily, money, growth and housekeeping tools according to the business profile.

Open the trading day

A two-minute check before the first customer.

Open the shift and record the float

Count the cash placed in the drawer and record the opening amount. Owners can run the shift themselves; a cashier account is not required.

Check low stock and receive deliveries

Review quantities before trading. Use Buying for purchase orders and goods received; capture the supplier invoice and operating expenses in Suppliers & Expenses.

Confirm only the devices you really use

A cash drawer or printer can be paired where supported. Card and camera functions must show a real connected state before you rely on them.

Sell, receipt and return

The till is the main screen during the day.

Ring the sale

Scan a barcode or tap a product, review quantity and total, then choose a real tender. Cash works locally. Card or QR must fail closed until a verified payment connection exists.

Understand what happens behind the button

A completed sale stores the order, item lines and payment, deducts stock and posts revenue, tax, cost of goods sold and inventory in one transaction. If any part fails, the whole sale is rejected.

Process returns against a recorded sale

Use the till’s return or refund workflow. A valid return reverses the accounting and restores stock where the goods are resaleable. Do not create a negative sale by hand.

Use Customer Accounts only for approved credit

Create the customer, set terms and limit, then use the account workflow for statements, ageing and settlement. Ordinary cash/card customers do not need debtor accounts.

Control stock, suppliers and costs

This is what keeps gross profit truthful.

Receive stock through Buying

Raise or review the order, record goods received and then capture the supplier bill. This keeps quantities, supplier balances, expenses and input tax aligned.

Capture supplier invoices and operating expenses

Use the correct date, supplier, tax treatment and expense or stock account. Record the payment only when it actually leaves the business.

Check COGS before trusting gross profit

If revenue exists but COGS is zero, stop and fix missing product costs or stock-receipt data. The profit report should never be accepted until that is resolved.

COGS rule: selling price tells you revenue; cost price tells you COGS. Both are required for gross profit.

Close the trading day

Finish the shift before reviewing the business.

Review the owner dashboard

Check today’s sales, order count, payment split, top items and low stock. Dashboard numbers come from recorded transactions, not sample totals.

Count the drawer blind and close the shift

Enter the physical cash before viewing the expected amount. Review any over or short result and record the reason rather than changing sales to force a match.

Back up after meaningful changes

Create a secure restorable archive after a major stock import, month-end or configuration change. Keep a copy off the till device.

Weekly, monthly, VAT and year-end

Use the cadence below instead of trying to do everything every day.

Weekly

Control exceptions

Review low stock, supplier balances, unpaid customer accounts, cash-up differences, backups and System Health.

Monthly

Read the business

Select the month and review P&L, balance sheet, cash flow, trial balance, general ledger, payables and receivables. Investigate zero COGS, unusual losses or unreconciled balances.

VAT period

Prepare, review, then file

Review output tax, input tax and supporting transactions; lock only after review. Transfer the approved figures into the official filing portal yourself, then record the real settlement.

Year-end

Close with evidence

Complete stocktake, close shifts, reconcile cash/bank, review each month, export ledger and trial-balance support, and create a final protected backup for the accountant.

Safety and truth rules

What the owner should never assume.

No connection means no payment approval

If a card or QR provider is not verified as connected, the tender must not complete. Use cash or connect the real provider.

No paired camera means no live video

Vision Live only becomes a real feed after a supported camera is paired. Design-preview screens are not evidence of a live camera.

Configuration is not professional tax advice

Confirm local registrations, product tax classes, reporting dates and filing obligations with the responsible authority or adviser.

Offline data still needs a backup

The business can continue locally without internet, but the device remains a single point of loss until you make and safely store a restorable backup.
